What is an EDI 832?

The EDI 832 Price/Sales Catalog is the ANSI X12 transaction set used to furnish, or request, the prices of goods or services in the form of a catalog. In practice, a supplier sends it to give customers item identifiers such as UPCs, descriptions, pack sizes, prices and effective dates for the products they can order.

Accurate catalog data is the starting point for clean orders. When a buyer's item master is built from the 832, purchase orders carry identifiers and prices the supplier recognizes, and invoices match. Many retailers require new items and price changes to arrive by 832 before they will accept orders for them.

How to read this diagram: the top row shows who sends the 832, to whom, and which documents usually come before and after it. The lower part shows what X12 release 008010 itself requires: the envelopes around the 832 and the segments and loops the standard marks as required, area by area. Optional loops are listed by the segment that starts them rather than drawn in full. This is the standard's minimum, not a trading partner's requirement: each partner's implementation guide usually makes some optional loops mandatory, restricts the codes and may use a different release.

Structure

Mandatory segments in the 832 (X12 release 008010)

The segments X12 release 008010 marks as mandatory at their level, in order. Segments inside optional loops are needed only when the loop is used. This is the standard's requirement, not your trading partner's: each partner's implementation guide names the release it uses, adds the optional segments it requires and restricts the values. The requirement status comes from one published X12 reference listing and has not been checked against a second source.

Practical example

The 832 in practice

A beverage supplier launches three new flavors. Before the retailer can order them, the supplier sends an 832 listing each item's UPC, description, case pack, unit cost and the date the cost takes effect. The retailer loads the items into its item master, and its replenishment system starts placing 850 orders that use exactly those identifiers and costs.

Implementation

Implementation considerations for the 832

  • Agree whether each 832 is a full catalog replacement or only additions and changes, because loading a partial file as a full one can delete active items.
  • Keep identifiers, units of measure and pack sizes consistent with what appears on orders, ship notices and invoices.
  • Send price changes with effective dates early enough for the customer to load them before they apply.
