What is an EDI 568?

The EDI 568 Contract Payment Management Report is the ANSI X12 transaction set that enables the transmission of a management report detailing payments and collections made against funds obligated on contracts, orders and other obligations.

Finance and contracting offices need to know how much of each contract's funding has been spent. The payment report lets them reconcile obligations with disbursements, identify funds that can be released and support contract closeout. Reports are usually produced monthly, and they support the closeout of completed contracts.

How to read this diagram: the top row shows who sends the 568, to whom, and which documents usually come before and after it. The lower part shows what X12 release 008010 itself requires: the envelopes around the 568 and the segments and loops the standard marks as required, area by area. Optional loops are listed by the segment that starts them rather than drawn in full. This is the standard's minimum, not a trading partner's requirement: each partner's implementation guide usually makes some optional loops mandatory, restricts the codes and may use a different release.

Structure

Mandatory segments in the 568 (X12 release 008010)

The segments X12 release 008010 marks as mandatory at their level, in order. Segments inside optional loops are needed only when the loop is used. This is the standard's requirement, not your trading partner's: each partner's implementation guide names the release it uses, adds the optional segments it requires and restricts the values. The requirement status comes from one published X12 reference listing and has not been checked against a second source.

Practical example

The 568 in practice

A payment office sends the finance office a monthly 568 listing payments made against each contract line and its funding, and a refund collected from a contractor. The finance office reconciles the payments with its obligations and identifies contracts with unused funds.

Implementation

Implementation considerations for the 568

  • Report payments at the line and funding level.
  • Reconcile with accounting records each period.
  • Report collections and refunds as well as payments.
  • Support closeout with complete payment histories.
